THE BEACH CLUB GROUP SALES COORDINATOR
The Group Sales Coordinator is responsible for assisting with group sales tasks such as handling lead calls, creating room blocks, creating BEOs as well as assisting with event planning as needed. They will also book transient reservations, assist callers with questions and provide answers and solutions. 

Additional duties will include lead generation, handling existing reservations and handling of special guest requests along with other tasks assigned by leadership as it relates to group and guest sales and relations.

ESSENTIAL DUTIES:
  • Answer reservation sales calls and secure bookings using the provided call flow. 
  • Handle payments, refunds, and review of guest folios.
  • Follow up on initial sales calls and leads.
  • Provide accurate resort information to guests.
  • Answer Maintenance and Housekeeping calls and create work orders.
  • Answer General Property calls. 
  • Answer calls from guests who booked through another property management company (Third Party calls.)
  • Cancel, modify, and reinstate existing reservations.
  • Qualify group sales leads through a variety of online and email sources.
  • Book group, complimentary/gift certificate reservations.
  • Follow up on possible sales leads by calling back guests who tried to reach the resorts.
  • Update credit card information, guest counts, etc. as needed. 
  • Create door codes as needed. 
  • Communicate well with other depts as needed, via chat, email, and phone.
  • Read/Respond to emails in a variety of email boxes.
  • Update Web reservations as needed.
  • Run a daily deposit report – call guests to get a new credit card added for payment. 
  • Move guests to different units as needed for a Room Move request from Owner Relations. ·       
  • Assist with Early Arrival and Late Departure check-in process.
  • Assisting guests with the use of the Spectrum Resorts App
  •  Use multiple systems used to complete tasks throughout the shift
  •  Complete a required checklist as time allows.
  •  Create sales contracts for groups.
  •  Create BEOs for groups.
  •  Assist with event planning as needed.
  •  Additional tasks as assigned.
REQUIRED SKILLS:
  • Excellent customer service/hospitality skills 
  • Excellent communication skills, both oral and written
  • Advanced computer skills to include Microsoft Office programs and the ability to learn property-specific computer programs.
  • Self-motivated to work independently and with other team members.
  • Strong sales skills to close sales and follow up on leads. 
  • Ability to Multi-task between different software programs, and tasks, while speaking on the phone.
  • Prior Front Desk, Call Center, or Reservations experience preferred, but not required.
  • Prior Customer Service preferred, but not required.
  • Provide World Class Customer Service
PHYSICAL REQUIREMENTS
 
  • Must be able to sit at a computer and on the phone for an entire shift.
  • Must be able to work from home in a home office. 
  • Must be available to report on-site as required or when requested. 
Compensation: $16.00 per hour
