    TURQUOISE PLACE GUEST SERVICES ADMINISTRATIVE ASSISTANT

SUMMARY: Provide administrative support to the Guest Services Operation and Management Team to include answering phone calls in Navis, email, various reports and spreadsheets, preparing check-in packet inserts, and perform reception duties for the Executive Offices. Also, assists Front Desk team as needed.

ESSENTIAL FUNCTIONS:
 
  • Maintain office supply and department inventory. 
  • Organize scan, and file daily department paperwork.
  • Answer the telephones and take detailed messages containing the necessary information to respond.
  •  Maintain weekly/monthly spreadsheets to include inventory items.
  •  Be responsible for coding invoices, etc.
  •  Assist with special projects as requested.
  •  Answer NAVIS calls to assist with booking reservations, answering guest questions, etc. 
  • Assist with Front Desk as needed
  •  Perform other duties, functions, or tasks as assigned by the department Manager and Director.
QUALIFICATIONS

  • GED or High School diploma, required
  • Prior Front Desk experience a plus
  • A positive, enthusiastic individual with exceptionally strong communication skills
  • Able to always act professionally under pressure and effectively multitask 
  • Able to diffuse conflict and promote a harmonious environment for all owners, team members, and vendors
  • Experience with the Microsoft Office Suite, including but not limited to Word, Excel, PowerPoint, and Outlook required
  • Ability to learn new systems including NAVIS, IQWare, etc.
  • Excellent hospitality skills
        PHYSICAL REQUIREMENTS

  • Ability to work at a desk on a computer for majority of the shift
  • Must be able to stand/walk as required
  • Must be able to lift/move up to 20 lbs.

Compensation: $16.00 per hour

Paid Internship Program
Gain hands-on experience during college breaks. Spectrum Resorts offers internships in three areas of the resort. In Food & Beverage you can have the opportunity to experience different areas of F&B such as casual and coastal cuisine restaurants, poolside bar and grill, food trucks and club lounge. Rotation between positions and outlets included. In the Rooms Division you can learn about the guest experience from Reservations to Front Desk to Housekeeping.
